Who we are
Sortza is a business admin assistant app for tradespeople and small service businesses, operated by Sortza Limited (company number 167537, registered office: 9 Croydon Mews, Bellozanne Road, St Helier, Jersey, JE2 3JY). In this policy, “Sortza”, “we” and “us” refer to Sortza Limited and the app.
Information we process
Account information. When you sign up we process your name, email address and password (via the platform’s authentication service — passwords are never stored or visible to Sortza). If you use Google sign-in, Google shares your basic account profile with us for sign-in only.
Your business data. The information you put into Sortza to run your business: your business profile (name, address, phone, email, tax number, logo), and your records of customers, jobs, quotes, invoices, payments and any notes or photos you add.
Tell Sortza commands. When you give Sortza an instruction (“Invoice Sarah for the painting job…”), the text of that command and the actions Sortza prepares from it are stored with your account so you can review and approve them.
Business emails you send. When you approve Sortza sending a quote, invoice, reminder or follow-up, we deliver it by email on your behalf and keep a delivery record (recipient, subject, content, delivery status) so you can see exactly what was sent.
Subscription status. Whether you are in a trial or subscribed, and (if you subscribe by card on the web) a Paddle customer identifier so your subscription can be managed. Your card details are processed by Paddle and never reach Sortza.
AI processing
To understand your instructions and prepare actions, Sortza sends your command (and only the business context needed to act on it) to AI language models provided through the Base44 platform. The output is a suggested action for you to review — consequential actions like sending emails or recording money only happen when you approve them.
How we use your information
We use your information only to provide Sortza: to run your account, store your business records, interpret your Tell Sortza commands, deliver the emails you approve, manage your subscription, keep the service working, and understand how the product is used (see Analytics).
Analytics
Sortza uses the platform’s built-in analytics with event names and coarse metadata only — for example “a quote was created” and the device class. We never send customer names, email addresses, command text, invoice or quote content, notes or financial details to analytics.
Cookies and advertising
Sortza uses a small number of essential cookies and local storage to run the app, keep you signed in and remember your choices. We also load the Google tag (Google Ads measurement) under Google Consent Mode v2: it is denied by default for every visitor and stores nothing until you choose through the cookie banner (Accept all, Reject all, or Manage preferences). You can change or withdraw your choice at any time under Settings → “Cookie settings”.
Advertising and analytics cookies are only enabled after you consent. If you consent to advertising, Google measures completed sign-ups from our ads (conversion measurement), which involves a Google cookie identifier and general device and browser information; this also lets our ads show on relevant websites to people who have visited ours (remarketing). Visitors from Jersey, the UK and the EEA are always asked first — nothing beyond essentials is enabled before that. You can learn more about how Google uses data and manage your own Google ad settings through Google’s “Ads, Privacy & Choices” page.
Service providers
Sortza runs on third-party infrastructure and uses these processors: Base44 (application hosting, database, authentication and AI model access), Paddle (payment processing, when you subscribe by card on the web) and Resend (delivery of the business emails you approve), plus Google if you choose Google sign-in, and also for advertising and site measurement (Google Ads measurement) but only where you have consented to advertising cookies. They process your data only as needed to deliver these services.
Security
Your business data is isolated to your account: other Sortza users can never see it. Access is enforced at the database level, and sensitive operations (payments, emails, deletions) are additionally guarded server-side.
Retention and deletion
We keep your data while your account is active. You can delete your account at any time in the app (Settings → “Delete my account…”), which permanently erases your business profile, customers, jobs, quotes, invoices, payments, photos, Tell Sortza history and your login account. Photo files added through the app are deleted from Sortza's own private storage with your account — a file deletion that can't complete immediately is flagged and retried automatically. A small number of photo files created before Sortza moved to its own storage remain on the Base44 platform's storage: their records and every access route are erased with your account, but we don't promise the platform-side deletion of those files.
Email delivery records. The technical delivery log for a business email — provider identifiers and failure diagnostics — is kept for at least 90 days and removed once the delivery record is more than 90 days old; removal happens on the next cleanup run after that point, not necessarily on the 90th day itself. The 90 days are measured from the delivery attempt recorded with the email, and apply the same way to failed deliveries. Where an address is unsafe to email (a bounce or a spam complaint), we keep the minimal suppression note needed to stop further emails to that address — suppression data, not a permanent legal hold — and review it at least once a year and remove it with the related record or your account. The visible communication history (what was sent, to whom, when, and its status) is part of your business data: it is not removed when you delete an individual record, and it is deleted with your account. This cleanup applies to Sortza's own records only: it does not delete copies held by our email provider, which retains delivery data under its own terms.
Your rights and contact
You can access, correct or export your business data in the app at any time. To raise a privacy question or request, contact us at privacy@sortza.co.uk or via the Support page.
Changes
If we change this policy we will update the date above and notify you in the app before it takes effect.
